Whose data this is

The election office is the owner of its records. AccuPay, Inc. operates Ballot Crew on that office’s behalf and processes information under its instructions. If you are a poll worker and want your record corrected or removed, your election office is the right first contact, and we support them in doing it.

What is collected

What you provide when you apply or when your office enrols you: your name, contact details, address, the languages you speak, your availability, and the information an election office needs to establish that you are eligible to serve.

Where an office pays you through Ballot Crew, that includes information required to pay you and to report that pay — which may include a Social Security number, date of birth, and bank account details where direct deposit is offered.

Also recorded: the shifts you were offered and worked, the hours submitted, and the messages sent to you, because an election office has to be able to show what it asked of whom and when.

Mobile information and text messages

No mobile information, opt-in data, or consent to receive text messages will be shared with, sold to, or otherwise provided to third parties or affiliates for marketing or promotional purposes.

Your telephone number is used to deliver the operational messages described in the Messaging Terms and is passed to our messaging carrier only to deliver them.

How it is protected

Social Security numbers, dates of birth and bank account details are encrypted individually, not merely stored on an encrypted disk, so that they remain unreadable even to someone holding the database.

Each election office’s records are isolated from every other office’s at the database level rather than by application code. Access requires multi-factor authentication. Every change, sign-in and sensitive read is written to an append-only audit log that cannot be edited after the fact.

Who it is shared with

Your election office, and the service providers needed to run the product: our hosting and database providers, our messaging carrier for texts, and our email provider. Each receives only what is needed to do its part.

Where an office uses Ballot Crew for pay, we calculate what each worker earned and produce a file. Somebody at the election office downloads that file and gives it to whichever payroll system they use. Ballot Crew does not send it anywhere, and is not connected to any payroll provider.

We disclose information to anyone else only where the law requires it. We do not sell personal information, and we do not share it for anyone’s marketing.

What is never done

Poll worker information is never used to train artificial intelligence models. It is never sold. It is never used to advertise to you.

Ballot Crew handles no voter registration data and no ballot data. It manages the people who staff an election, not the election itself.

How long it is kept

Election records carry retention obligations set by federal and state law, so an office keeps worker and pay records for the period its own law requires. Each office configures that period, and Ballot Crew will not let it be set below the legal floor.

Your choices

You may ask your election office to see, correct or delete your record, subject to the retention obligations above. You may stop text messages at any time by replying STOP, and that choice is honoured immediately and independently of everything else.
